Why a salon bookkeeping checklist beats a shoebox of receipts
Salons and barbershops take money in tiny pieces, all day, from many people. Fifteen small payments are harder to track than one big one — and they’re exactly what gets forgotten.
Then there’s the other side: hair products, clippers, nail supplies, electricity, rent, the apprentice’s weekly pay. Most of it moves by mobile money or bank transfer, and every single one of those sends you a receipt message.

Step 1: The five-minute setup (do this once)
Open the app and get these four things in place before you capture anything. It takes about as long as one blow-dry.
- Create your real accounts. Add your MoMo wallet and your bank account under Bank Accounts & Transactions. If you forget one, you can add it straight from the dropdown on the review screen with “+ Create New Bank Account…”.
- Name them the way your receipts name them. If your MoMo receipts show your business name, use that name on the account — it helps transfers get spotted automatically.
- Install the app to your home screen (Android). Once it’s installed as an app rather than just a browser tab, you can long-press a receipt SMS, tap Share, and send it straight into the review queue.
- On iPhone, bookmark the paste box. Sharing text to web apps isn’t supported there, so copying the SMS and pasting it in is your route — still faster than typing.
That’s your whole setup. No per-bank configuration, no templates to build — the reading is done by pattern matching tuned against real bank and MoMo receipts, so it’s fast and it never invents a value.
Step 2: The daily checklist — capture before you close
Make this the last thing you do before locking up. It is short enough that nobody on your team can claim they didn’t have time.
- Open Smart Capture and paste the day’s receipt text into the Receipt text box — the whole SMS or email, not just the amount.
- Optionally pick a Source (MTN MoMo, GT Bank, and so on). It’s only for your own filtering later; the reading doesn’t depend on it.
- Click Capture. The parsed result appears below under “Waiting for review” with a confidence badge.
- Stop there if you’re tired. Capturing does not post anything. It’s a queue, and it will wait for you.
Clearing a backlog in one sitting
Behind on a whole week? Paste them all together. Put a blank line between short SMS messages and Capture splits them back into separate receipts.
Even an unbroken export with no separators works, because each message’s own reference number marks where one ends and the next begins. Full bank emails pasted together are handled too — each one restates its own debit/credit line, so the blank lines inside a single email don’t fool it.
Step 3: Review and confirm — the part that protects you
Each pending item shows the original receipt text above an editable form. Everything is editable, so correcting a field is normal, not a workaround.

Read the confidence badge
- Looks right — both amount and direction were found. Check the details and confirm.
- Some fields missing — only one of the two was found. Fill in the rest.
- Couldn’t read this one — neither was found, so the text didn’t match a known receipt shape. Enter it by hand and confirm as normal.
Pasted the same receipt twice — once from the SMS, once from the email? It’s recognised by its reference number and amount and shown as already captured, instead of double-counting your takings.
Nothing posts until you say so. Capture is a queue, not a cash drawer someone left open.
Step 4: Don’t let your own transfers look like salon income
Here’s the mistake that makes a salon look far more profitable than it is. You sweep GH₵2,000 from your MoMo wallet to your bank, and it gets booked as income — money you already counted once.
When a receipt’s counterparty matches the name of one of your own registered bank or MoMo accounts, the review screen shows a notice and ticks “Record as a transfer” by default. Pick the other account involved and both balances move, with no income or expense category at all.
If the name match was just a coincidence and it really was a client paying you, untick the box and carry on as a normal transaction.
Step 5: Teach it your regulars
The first time you confirm a receipt for a person or business, set the category properly — hair products, rent, utilities, staff pay — and link a real contact if you have one.
The next receipt naming that same counterparty pre-fills the same category, contact and bank account automatically. No rules to write, no setup screen; it simply remembers how you handled it last time.
Because categories are a single shared list across the app, your wholesaler is spelled the same way everywhere — which is exactly what makes your reports trustworthy.
Step 6: Month-end — turn the pile into a picture
Once a month, sit down for twenty minutes with this list:
- Clear the review queue — confirm or dismiss everything still waiting.
- Check dates on MoMo captures. A few MoMo formats carry no date at all, so those default to today — fix any you captured days late.
- Scan your categories for near-duplicates and tidy them up.
- Open your financial reports and read your profit and loss. Where did the money actually go?
Now you can answer the real questions. Are product sales carrying the shop, or services? Is rent eating your best week? That’s the payoff for one minute a day.
What this checklist won’t do (so there are no surprises)
It’s one general pattern-matcher, not a hand-built template per bank. A format it hasn’t met may come back as low confidence — the fields are still there for you to fill in by hand.
It isn’t a payroll integration either. A salary you send by MoMo comes through as a regular transaction, learning your usual category for that person over time. For proper pay cycles, staff records and SSNIT, use Payroll instead.
