CRM Module
Tracking Deals with CRM
A drag-and-drop sales pipeline, separate from your Contacts list — each deal optionally links to a contact, but has its own stage, value, probability, owner, and activity timeline.
Start here
1Turn CRM on
CRM is a toggleable module, same as Projects or Fixed Assets — it doesn’t show up in the sidebar until a Company Admin enables it. Go to Settings → Modules, turn on CRM, and save. It then appears in the sidebar under Sales & Purchases for everyone in that company whose role grants it.
Company Admins always have access. The built-in Sales Manager and Sales Officer roles include CRM automatically; other roles need it added under Users & Roles if they should have it.
2Create a deal
Click + New Deal. It’s a single form.
| Field | Notes |
|---|---|
| Deal title | Required — the name you’ll recognize it by, e.g. “Acme Corp — Website Redesign”. |
| Contact | Optional. Pick an existing Contacts record, or leave it unlinked for a deal that doesn’t have one yet. |
| Owner | Optional. Any member of the company — defaults to you. |
| Value & Currency | Currency defaults to your company’s own currency. |
| Stage | Defaults to New. See Stages reference. |
| Probability | Auto-fills from the stage you pick — you can still type your own number over it. |
| Source | Optional — Website, Referral, Cold Outreach, Social Media, Advertising, Event, or Other. |
| Expected close date | Optional. |
| Description | Optional, free text. |
Click Create Deal and it appears as a card in its stage’s column on the board.
3Move deals through the pipeline
The board shows one column per stage. Drag a card to a different column to move it — or open the card and use one of the Move to… buttons instead, which does the same thing without drag-and-drop. Moving to a stage updates the deal’s probability to that stage’s default and logs a “Stage changed” entry on its timeline automatically.
Use Search deals or contacts… and My deals only above the board to narrow what’s shown — both filter the board in place, without changing what’s actually stored.
4Log calls, meetings & notes
Open any deal to see its timeline. Pick a type — Note, Call, Email, or Meeting — type what happened, and click Add. Every stage change is also logged here automatically, so the timeline reads as a full history of the deal, not just your own manual entries.
Common tasks
Linking a deal to a contact
Pick a contact from the dropdown when creating the deal, or open Edit Deal on an existing one and set it there. Once linked, the contact’s name in the deal’s detail panel is clickable and opens their full Contacts record. A deal doesn’t need a linked contact at all — you can track an opportunity before it has one.
Marking a deal Won or Lost
Move the deal to the Won or Lost column (drag it, or use Move to Won / Move to Lost in its detail panel). Moving to Lost prompts you for a reason — it’s optional, but showing up later on the card and in your Won vs Lost chart if you fill it in. Won and Lost are real columns on the same board, not a separate archive, so closed deals stay visible for reference.
Reading the pipeline stats & charts
| Metric | Meaning |
|---|---|
| Open Pipeline | Total value of every deal not yet Won or Lost. |
| Weighted Pipeline | Open Pipeline, each deal counted at its own probability — a more realistic forecast than the raw total. |
| Won This Month | Total value of deals marked Won this calendar month. |
| Win Rate | Won deals as a share of all Won + Lost deals, all time. |
The Pipeline by Stage chart shows where your open value is concentrated; Won vs Lost compares total value closed each way, all time.

What this module doesn’t do
Every company shares the same seven stages. There’s no way to rename, reorder, add, or remove a stage per company today.
Deleting a deal removes it and its timeline permanently — nothing else in the app currently points to a deal, but there’s no undo.
Logging an “Email” activity is a manual note about an email you sent elsewhere — CRM doesn’t send email itself.
