Chatting With Your Team

The floating chat widget every company member can use — a shared Company room, one-on-one direct messages, and groups — plus attachments, voice notes, read receipts, pinning, muting, and your own personal chat wallpaper.

1Before you start

Team Chat isn’t a page you navigate to — it’s the floating chat button that follows you around the app. Click it from anywhere to open the panel, pick a chat on the left, and start typing.

Unlike most modules, Team Chat isn’t something an admin can hide behind a role. Every real member of a company can open it and message any other real member of that same company — it’s treated the same as the notification bell or the company switcher, not as a gated feature.

Three kinds of chat

The panel lists three kinds of conversation, described in the next three sections: one shared Company room, any number of one-on-one direct messages, and any number of groups. Pick one on the left to open it.

Getting around

2The Company room

Every company gets one shared room, automatically — there’s nothing to create. Anyone who’s currently a real member of that company sees the same message history and can post into it. Switch to a different company and you’re in a different room with a different history; the Company room is deliberately scoped to one company at a time, the one exception to how direct messages and groups behave (see below).

3Direct messages

Click any teammate in the roster to open a private, one-on-one thread with them. Only the two of you ever see it.

Your DM history follows you across companies

If you and a teammate work together in more than one company, you get one continuous conversation with them — not a separate thread that resets every time you switch companies. Everything you’ve ever said to each other is still right there, no matter which of your shared companies is currently active. What changes when you switch companies is only who’s reachable: you can only start or continue messaging someone who is still a real member of at least one company you both currently share.

4Groups

Click New Group, give it a name, and pick teammates from your current company’s roster to add. A group works like a small private room for just its members.

A group’s photo and description are both optional, set from Group settings — a real photo makes a busy group list easier to scan than a wall of identical initials bubbles, and a short description is a quick way to say what the group is actually for.

Just like a direct message, a group’s identity is its member list, not any one company — it stays reachable across every company its members currently share, as long as every member is still part of that company. If even one member has left, the group is temporarily unreachable there until that’s no longer the case.

Sending things

5Sending a message

Type into the box at the bottom and press Enter to send (on a phone, Enter just starts a new line — use the send button instead). Click Reply on any message to quote it before you send your own, exactly like replying to a specific message in any modern chat app.

6Typing a checklist

Start a line with 1. or - followed by a space, then press Enter — the compose box turns it into a live, growing list right there while you’re still typing, numbering or bulleting each new line automatically as you go.

It’s a plain-text trick, not a rich editor

Under the hood the compose box is still just plain text — what you see growing into a numbered or bulleted list as you type is a live preview of exactly what gets sent. The same 1. / - markers are recognized again when the message renders in the thread, so a list you type looks like a real list both while composing and once it’s sent — no special formatting toolbar involved.

Press Enter twice (an empty line) to break out of the list and go back to a normal line.

7Photos, files & voice notes

Click the paperclip to attach a photo or a file, or the microphone to record a voice note right in the browser — click to start recording, click again to stop, then send it like any other message. Attachments can carry a caption, same as a text message.

Attachments dropped into Team Chat belong to that conversation — they don’t get filed into the Files module, since a photo or voice note shared in chat is meant to live with the conversation it was part of, not be looked up later as a standalone document.

8Editing, deleting & forwarding

You can edit or delete any message you sent, at any time — there’s no time limit and no admin override; only the original sender can change or remove it. A deleted message is replaced with a “message deleted” placeholder for everyone rather than disappearing outright, so the conversation doesn’t leave a confusing gap.

Select one or more messages and click Forward to re-send them into a different chat — the Company room, a DM, or a group. A forwarded message arrives as a brand-new message from you, the same way forwarding works in WhatsApp or Telegram, not as a link back to the original.

9Making a voice call

Open a direct message and click the phone icon to start a real, live voice call with that teammate, right in the browser — no separate app or dial-in needed.

  1. Click the phone icon in a DM

    The other person sees an incoming call ring on their screen with your name on it, wherever they are in the app.

  2. They answer or decline

    Answering connects you both immediately. A ring that goes unanswered for about a minute stops ringing on its own rather than hanging forever.

  3. Use Mute during the call

    The in-call overlay has its own mute button — separate from muting a chat’s notifications (see Muting a chat), this one mutes your microphone for the other person.

  4. Either side can end it

    When the call ends, a short summary line — how long it lasted — is posted right into that DM’s message history, the same way WhatsApp or Telegram leaves a call record in the conversation instead of a separate call log.

Direct messages only

Voice calling works between two teammates in a DM — there’s no group call and no calling into the Company room. You also can’t place or receive a second call while already on one.

Keeping your inbox sane

Read receipts & unread badges

Your own sent messages show a status tick, the same convention most chat apps use:

Unread counts on the chat list update as messages arrive, and clear the moment you open that thread.

Pinning a chat

Pin a DM or group to keep it at the top of your list — click the pin icon on any chat. You can pin up to 3 at a time; pin a fourth and you’ll need to unpin one first. The Company room is always shown at the top regardless — it isn’t something you opt into pinning. Pinning is a personal preference tied to your account, so it follows you to any device you log in from — it isn’t reset per company.

Muting a chat

Click the bell icon in a chat’s header to mute it — the icon switches to a crossed-out bell to show it’s muted. A muted chat stops popping up toasts or playing a sound for new messages, but it still shows up as unread with a normal badge count — muting silences the interruption, not the fact that something’s waiting for you.

Mute is per-device

Unlike pinning or your wallpaper choice, mute is saved only on the device/browser you set it on — it does not follow you to your phone or another computer. If you want a chat quiet everywhere, mute it on each device you use.

Offline email notifications

If you’re offline — away from the app for a while — when a direct message or a group message comes in, you’ll get an email about it too, so you don’t miss it. Clicking the button in that email takes you straight back to that exact conversation, switching you into the right company first if needed.

Company room is excluded

You’ll only ever get this email for a direct message or a group — never for the Company room. Everyone’s already a member of that one, so emailing every offline member on every single room message would be noise, not a notification.

Won’t repeat every few minutes

If someone keeps messaging you while you’re offline, you’ll only get one email for that conversation every 15 minutes or so — not one per message.

Personalizing your chat wallpaper

Click the wallpaper icon in the chat header to open the picker and choose a background for your message view — purely cosmetic, purely personal.

There’s a wide selection to choose from: CSS-drawn pattern presets like Classic Dots, Aurora, and Spectrum, flat color options like FinApp Classic (colored to match the app’s own mascot), and four real photo wallpapers — Paper Drift, Azure Flow, Tri-Tone, and Midnight Ledger.

100% personal — and it follows your account

Your wallpaper choice is entirely yours: nobody else in a chat sees it, and picking one never changes what anyone else sees. It’s saved to your account, not just your browser, so it follows you to any device you log in from — open Team Chat on your phone and you’ll see the same wallpaper you picked on your desktop.

Docking chat to the side (desktop)

On a desktop-width screen, click the dock icon (next to Expand in any conversation) to pin Team Chat as a full-height panel along the right edge of the app, instead of a floating window over your screen. Keep working in any other module — Tasks, Invoicing, wherever — with chat staying visible and open the whole time.

Click the same icon again to undock it. Your choice is remembered on that device for next time. Docking is desktop-only — on a phone or narrow tablet, chat always opens the same full-width way it always has.

Unread badges still need your attention

Docking keeps the panel open, but a new message in your currently-open conversation only clears its unread badge once the app window actually has your focus — just sitting open in the background while you’re working in another browser tab or app won’t mark it as read.

Emailing yourself a transcript

Open a DM or group and click Email transcript to send yourself a plain-text copy of that conversation’s most recent messages, as a quick personal backup or export.

Not available for the Company room

This only works from a DM or a group. The Company room is deliberately excluded — everyone in the company already sees its full history, so emailing a copy of it isn’t the small, personal export a DM or group transcript is.

Whoever operates the platform itself is never a hidden participant — that account can only appear in your company’s chat if it holds a genuine membership in your company, exactly like anyone else.

What this module doesn’t do

No message search

There’s currently no way to search past messages by keyword — scrolling back through a thread is the only way to find something older.

Mute doesn’t sync across devices

See Muting a chat — it’s a per-device preference, unlike pinning or your wallpaper.

Voice calling is DM-only
