Accounting App for Small Shops: Ditch the Notebook
Switching from a notebook or spreadsheet? See what to look for in an accounting app for small shops — and how FinAccounting tracks cash, MoMo and bank in one list.
Your shop notebook knows more about your money than anyone — and it still can’t tell you how much you actually have. Cash sits in the tin, MoMo sits on the phone, and the bank keeps its own version of events.
If that sounds like your week, you are exactly who an accounting app for small shops is built for. Not a big-company system with a hundred buttons. Just one clean list of every pesewa that comes in and goes out, on your phone, updated as you serve customers.
Why the notebook stops working
A notebook is a record, not a system. It can’t subtract a MoMo fee you forgot, spot a sale you wrote twice, or show your bank balance at a glance.
Spreadsheets go further, but they only know what you type — and one wrong formula quietly changes every total below it.
The real cost is decisions. You restock, extend credit or take money out based on a feeling, because the numbers are days behind.
Moving off paper takes one evening, not one month. Start with a single account and today’s date.
What to look for in an accounting app for small shops
Whether you are comparing FinAccounting, QuickBooks, Xero, Zoho Books, Wave or just a better spreadsheet, judge every option against the same checklist. Here is the one we would hand a kiosk owner:
- Every kind of money account — cash box, Mobile Money wallet, savings and bank, each with its own balance.
- Fast entry — money in or money out in a few taps, with no accounting jargon on the form.
- Transfers between accounts — because cash goes to the bank and MoMo goes to cash all the time.
- A monthly reconciliation that compares your records with the real statement, line by line.
- Correct books without effort — the double-entry side handled for you, so reports are right.
- Works on a phone, in the browser, while you are standing behind the counter.
- A real free start so you can test with your own numbers before paying anything.
FinAccounting meets every line on that list. The rest of this post shows you how, in the order you would actually do it.
Step one: put all your money in one place
In Bank Accounts & Transactions you click + New Bank Account and give it a name. That is the only required field.
Then pick the type — Checking, Savings, Cash or Mobile Money — and type the opening balance, which is simply what is in that account on the day you start. Commas are fine, so 15,000 works.
Leave the Current Balance empty and it starts at your opening figure, then moves by itself with every transaction and transfer you record. The Bank Accounts and Total Balance cards at the top update the moment you save.
In double-entry mode each account also gets its own line on your Balance Sheet, created for you — no chart-of-accounts homework before you can begin.
Step two: record money in and money out
Click + Add Transaction, choose the account and date, then pick Inflow for money in or Outflow for money out. Add the amount and a category — category is free text, and whatever you type is remembered and suggested next time.
Paying several things with one withdrawal? Use Itemize to split it into lines, each with its own description and amount. The total is always the sum of your lines.
Here is the part that saves shop owners the most confusion: Income and Expenses are not separate books. They are filtered views over these same transactions — inflow and outflow. Record a sale in either place and it is the exact same entry. Nothing to keep in sync, ever.
Not sure the money has actually landed? Set the status to Pending. A pending transaction doesn’t touch your balance at all. When it clears, you change one field to Posted and the balance — plus the journal entry behind it — applies automatically.
Hate typing? Smart Capture reads the amount, date and reference from a pasted bank or MoMo alert, ready for you to confirm as a real transaction.
Step three: reconcile once a month and sleep well
This is the step notebooks cannot do, and it is the reason your totals have never matched. Reconciling compares your records with your bank or MoMo statement, line by line.
Click Reconcile next to the account, enter the statement end date and the ending balance printed on it, then tick every transaction that also appears on the statement. Watch the Difference as you go.
Spotted a monthly account fee or an e-levy you never recorded? Click + Add bank charge and it is saved as money out of that account under Bank & Mobile Money Charges — and ticked for you.
When the Difference reads 0.00, click Finish Reconciliation. Anything not yet on the statement stays unticked and simply shows up again next month.
Do it once a month for every account, cash box included. Twenty minutes buys you a number you can actually trust.
Reconcile on the same date every month — say the 3rd. A habit beats a heroic catch-up session.
Being honest about what you’ll still do by hand
FinAccounting has no automatic bank connection. There is no live feed pulling your statement in overnight, so every transaction is entered by you, and you tick the statement lines yourself.
For a shop or kiosk, that is often a feature rather than a flaw. You already touch every cedi that moves, and entering it takes seconds on a phone.
What you don’t do by hand is the accounting. Posted transactions, transfers and corrections all write their own balanced journal entries, and editing a transaction reverses the old entry and posts a fresh one dated to the original month — so last month’s profit never changes because you fixed a typo today.
Your switching week, in five steps
- Pick a clean start date — the first of next month is easiest.
- Add every account: cash box, MoMo wallet, bank, savings. Use that morning’s real figures as opening balances.
- Enter transactions from that date only. Don’t retype years of history; your opening balances already carry the past.
- Record transfers when cash goes to the bank or MoMo turns into cash, with + Transfer.
- Reconcile at the end of the month, fix the gaps, and keep the notebook in a drawer as a backup you’ll stop opening.

Frequently asked questions
Does FinAccounting connect to my bank automatically?
No. There is no live bank feed, so every transaction is entered by you — directly in Banking or through the Income and Expenses forms. Smart Capture speeds this up by reading the amount, date and reference from a pasted bank or MoMo receipt, ready for you to confirm.
Can I track Mobile Money as well as cash and bank?
Yes. When you add an account you choose its type — Checking, Savings, Cash or Mobile Money — so your cash box, MoMo wallet and bank account each sit side by side with their own balance. MoMo fees you spot on a statement can be added during reconciliation as a bank charge.
Do I need to understand debits and credits?
No. You pick an account, a date, inflow or outflow, an amount and a category. In double-entry mode the matching journal entry is posted for you behind the scenes, so your reports are correct without you doing any of the bookkeeping maths.
